Assigning data teams to data requests and allocating tasks
Data teams are assigned to data requests via artefacts, which represent a selection of teams/tasks required for that data request.
How to assign data teams to data requests
Select 'Manage data requests' from your username dropdown.

Select the data request you wish to assign a data team to.

Select the 'Data Teams' tab.

Note: Only Administrators, Data Request Approvers and Data Team Members can see the 'Data Teams' tab.
Select 'Define new artefact'.

Populate the 'Name' and 'Description' fields as desired.

Select the desired data team from the 'Data Team' dropdown.

Select whether this artefact will be 'Internal' or 'External' via the 'Artefact Type' dropdown. These options are defined as follows:
'Internal': The artefact can be seen and interacted with by Data Team Members, Approvers and Administrators
'External': The artefact can be seen by Researchers, but only interacted with by Data Team Members, Approvers and Administrators.

Select 'Save' once satisfied.

Note: If a data request is cloned via selecting 'Clone Request' (below), artefacts can be individually selected to be copied into the new request.


How to allocate tasks within a data team
From the desired data request, select the 'Data Teams' tab.

Select the desired artefact.

Note: Tasks can only be assigned within an artefact after its creation, not during.
Select the bullet point beside the task you wish to allocate.

Select the user you wish to assign this task using the 'Assigned to' dropdown.

Select 'Update'.

Note: A data team member with a task assigned to them can update its status by navigating to the above screen, and adjusting the 'Status' dropdown, then selecting 'Update'. When updating the status to 'Done', a data team member can also specify how long it took to complete the task via the 'Time spent on task (minutes)' field (below).


Repeat steps 4-5 as necessary. The 'Data Teams' tab will show the updated status of tasks and their assignees in the 'Data Teams' section.

Note: The checkboxes beside the tasks listed in the 'Data Teams' section will alter based on the appropriate task's status. These can be moused over to confirm what symbol reflects what status.
